This position protects operational reliability, financial accuracy, and event execution excellence at Nashville Superspeedway. This teammate ensures that the systems supporting payroll, purchasing, work orders, and event readiness function consistently and accurately — especially during high-volume event cycles.
This position converts operational activity into structured, accountable, and financially controlled execution so that leadership can focus on strategy, development, and continuous improvement rather than administrative follow-up.
Key Responsibilities
This teammate is responsible for the following accountability areas. Other duties may be assigned.
1. Payroll Accuracy and Workforce Reliability
Ensure all Operations payroll processes are accurate, timely, and compliant, creating trust and financial stability for teammates and leadership.
- Achieve 100% on-time payroll submission with zero compliance violations.
- Reduce payroll-related corrections or adjustments year over year.
- Maintain organized payroll records that support audit readiness and leadership visibility.
In this area, this position:
- Decides Payroll data entry, timecard verification, and routine correction processing
- Decides Administrative workflow organization and documentation standards
- Escalates Payroll discrepancies requiring leadership judgment or policy interpretation
2. Work Order Integrity and Facility Readiness
Own the integrity and effectiveness of the 24/7 work order and preventive maintenance system to ensure facilities are event-ready and operational risks are minimized.
- Ensure work orders are properly logged, updated, and closed within target timelines.
- Reduce repeat maintenance issues through improved tracking and documentation.
- Ensure completion of event-critical work orders before major event load-in.

- Decides Work order entry, status updates, and documentation standards
- Decides Prioritization of routine work order tracking and follow-up cadence
- Escalates Work orders at risk of missing event deadlines or requiring budget beyond approved levels
3. Purchase Order Discipline and Budget Visibility
Maintain disciplined purchase order tracking and expense coordination to protect departmental budget accuracy and financial transparency.
- Ensure all purchases are processed through proper purchase order channels.
- Reduce unplanned or off-cycle spending year over year.
- Provide leadership with accurate, current budget visibility at all times.

- Decides Purchase order entry, tracking, and routine vendor coordination within approved budgets
- Decides Expense documentation and filing standards
- Escalates Purchase requests exceeding budget authority or requiring leadership approval
4. Event Operations Coordination and Execution Support
Provide structured administrative and operational coordination that ensures seamless setup, execution, and breakdown of all major events including NASCAR, INDYCAR, Triple Crown of Rodding, C-10 Nationals, drifting, and corporate events.
- Achieve zero event delays caused by administrative or coordination breakdowns.
- Earn positive internal event debrief feedback regarding Operations support.
- Support event setup, breakdown, and real-time operational needs during event days.

- Decides Administrative coordination tasks and sequencing during event preparation
- Decides On-site logistical adjustments within established event plans
- Escalates Event coordination conflicts, resource shortages, or issues requiring leadership intervention
5. Process Improvement and Leadership Enablement
Strengthen operational systems, documentation, and communication processes so leadership can focus on strategy, development, and continuous improvement.
- Implement documented process improvements annually within payroll, purchase order, or work order systems.
- Increase system compliance rate across Operations staff.
- Achieve measurable reduction in leadership time spent on administrative follow-up.
In this area, this position:
- Decides Documentation format, process improvement proposals, and system organization approach
- Recommends Workflow changes and system enhancements based on observed patterns and data
- Escalates Process changes requiring policy modifications or cross-departmental coordination

Requirements
| Experience (Required) | Experience working in structured tracking systems. Proficiency in Microsoft Office (especially Excel and Outlook). Strong organizational skills and attention to detail. Event experience on the operational side. Ability to manage multiple priorities in a deadline-driven environment. |
| Experience (Preferred) | Experience processing payroll or supporting payroll administration. Experience entering and tracking purchase orders or managing budget documentation. Background in motorsports, live entertainment, or venue operations. Experience in facilities or maintenance environments. |
| Certifications / Licenses | Forklift, man lift, tractor, or equipment certifications preferred (can be obtained after hire). |
| Tools / Systems | Microsoft Office, cloud-based payroll and purchasing systems, Adobe Acrobat, radio communications. |
| Physical Requirements | Ability to lift and move up to 50 lbs. Ability to work indoors and outdoors during events, including extreme weather conditions. Reasonable accommodations may be made for qualified individuals with disabilities. |
