Why This Position Exists

The Manager, Sales – Client Services is responsible for everything that happens after a client signs a contract at Sonoma Raceway. Business Development Executives open relationships and close agreements; this position ensures that every promise made is delivered — on time, to standard, and in a way that earns the right to sell to that client again.

The position owns the systems, signage, credentials, Fan Engagement areas, and financial process discipline that turn contracts into executed fulfillment. It also serves as the forward-facing office presence at Sonoma Raceway — the first voice and first face that visitors, callers, vendors, and community partners encounter. Without this position, the Sales team loses operational capacity, clients experience gaps in delivery, and the office loses its professional front line.

Key Responsibilities

1. Client Services and Contract Fulfillment

Responsible for delivering every contractual asset sold by the Sonoma Raceway Business Development Executives. Fulfills tickets, displays, suites, credentials, signage, and client recaps. Serves as the operational point of contact between the Sales team and clients to ensure commitments are met on time and to standard.

2. Sales Systems and Resource Management

Responsible for the accuracy, currency, and usability of the digital tools the Sales team depends on. Maintains Salesforce (CRM), EPitch (presentations), Hookit (social sponsorship measurement), and Box (client asset library, iRacing resources, processes, and pricing).

3. Sales Administration and Financial Process

Responsible for the operational and financial discipline that moves contracts from signature to paid. Executes contract routing, invoicing, purchase orders, bids and quotes, and coordinates accounts receivable and accounts payable activity within the Sales function, consistent with Speedway Motorsports standards.

4. Major Event Client Experience

Responsible for the client-facing physical program during event weekends. Manages client signage inventory, creative file intake, vendor coordination for printing and installation, and rebills; manages NASCAR VIP credential lists; and oversees the Fan Engagement area, including pre-event packets, layout design, Certificate of Insurance verification, load-in, and daily client check-ins.

5. Office Administration and Reception

Responsible for the forward-facing office presence and the daily administrative support that keeps the Sonoma Raceway team functioning. Answers and routes the main phone line, greets visitors, sets up meeting rooms, manages office supply ordering, coordinates team lunch orders, and handles shipping, receiving, and mail. Also responsible for other duties which may be assigned from time to time.

Requirements

Experience (Required)Multiple years of experience in client services, sales support, account management, or a comparable discipline requiring direct client interaction, multiple concurrent deliverables, and process discipline.
Experience (Preferred)Experience in motorsports, live events, sports sponsorship, or hospitality.
Certifications / LicensesNone required.
Tools / SystemsProficiency with Salesforce or a comparable CRM. Working familiarity with presentation, digital asset management, and collaboration platforms (for example, EPitch, Box, and standard office productivity software).
Physical RequirementsAbility to be on-site and on foot for extended periods during event weekends. Ability to lift and move event materials up to 40 pounds. Comfort working outdoors in varied weather during events.
Travel ExpectationsMinimal. Occasional travel for Speedway Motorsports functional meetings or training.
Work ScheduleStandard business hours with extended hours and weekend work required during event weekends, major events, and other events as needed.
