Why This Position Exists
The Manager, Sales – Client Services is responsible for everything that happens after a client signs a contract at Sonoma Raceway. Business Development Executives open relationships and close agreements; this position ensures that every promise made is delivered — on time, to standard, and in a way that earns the right to sell to that client again.
The position owns the systems, signage, credentials, Fan Engagement areas, and financial process discipline that turn contracts into executed fulfillment. It also serves as the forward-facing office presence at Sonoma Raceway — the first voice and first face that visitors, callers, vendors, and community partners encounter. Without this position, the Sales team loses operational capacity, clients experience gaps in delivery, and the office loses its professional front line.
Key Responsibilities
The five Key Responsibilities below describe what this teammate is responsible for and the outcomes they are expected to produce. This position is also responsible for other duties which may be assigned from time to time.
1. Client Services and Contract Fulfillment
Responsible for delivering every contractual asset sold by the Sonoma Raceway Business Development Executives. Fulfills tickets, displays, suites, credentials, signage, and client recaps. Serves as the operational point of contact between the Sales team and clients to ensure commitments are met on time and to standard.
Measurable Outcomes:
- Every contractual asset is delivered in full and on schedule per contract terms.
- Client recaps are produced and delivered within the agreed timeline after each major event.
- Zero missed client deliverables on event weekends.
2. Sales Systems and Resource Management
Responsible for the accuracy, currency, and usability of the digital tools the Sales team depends on. Maintains Salesforce (CRM), EPitch (presentations), Hookit (social sponsorship measurement), and Box (client asset library, iRacing resources, processes, and pricing).
Measurable Outcomes:
- CRM data integrity maintained through regular review and correction.
- Presentation and pricing materials updated ahead of each sales cycle.
- Sales teammates report that resources are reliable, current, and easy to access.
3. Sales Administration and Financial Process
Responsible for the operational and financial discipline that moves contracts from signature to paid. Executes contract routing, invoicing, purchase orders, bids and quotes, and coordinates accounts receivable and accounts payable activity within the Sales function, consistent with Speedway Motorsports standards.
Measurable Outcomes:
- Contracts routed and executed per Speedway Motorsports process standards.
- Invoicing and A/R follow-up completed on defined schedules.
- Zero audit findings related to Sales contract or financial process discipline.
4. Major Event Client Experience
Responsible for the client-facing physical program during event weekends. Manages client signage inventory, creative file intake, vendor coordination for printing and installation, and rebills; manages NASCAR VIP credential lists; and oversees the Fan Engagement area, including pre-event packets, layout design, Certificate of Insurance verification, load-in, and daily client check-ins.
Measurable Outcomes:
- All client signage installed correctly and verified before event gates open.
- Fan Engagement area operates without safety, placement, or access issues.
- Client satisfaction on event-weekend fulfillment meets or exceeds target.
5. Office Administration and Reception
Responsible for the forward-facing office presence and the daily administrative support that keeps the Sonoma Raceway team functioning. Answers and routes the main phone line, greets visitors, sets up meeting rooms, manages office supply ordering, coordinates team lunch orders, and handles shipping, receiving, and mail. Also responsible for other duties which may be assigned from time to time.
Measurable Outcomes:
- Visitors and callers experience a professional and welcoming first contact with Sonoma Raceway.
- Office supplies, shipping, and logistics maintained without disruption to the team.
- Administrative needs are anticipated rather than reacted to.
Our Traits
Every Speedway Motorsports teammate is expected to demonstrate our three Traits: Humble, Driven, and Connected. The descriptions below explain how each Trait shows up specifically in this position.
Humble. Treats every visitor, caller, client, and vendor — from NASCAR officials to first-time partners — with the same genuine respect. Receives perspective without defensiveness and does not let long experience become entitlement. Puts the team and the work ahead of personal credit.
Driven. Owns outcomes personally. Works event weekends at full pace alongside the team. Closes gaps without being asked. Brings a do-whatever-it-takes standard to every commitment the Sales team makes on behalf of Sonoma Raceway.
Connected. Serves as a relational hub between the Sales team, clients, vendors, and the rest of the Sonoma Raceway team. Communicates early rather than late. Builds the kind of working relationships that make the entire Sales operation run more smoothly.
