Why This Position Exists
This position manages the operations, leasing, and coordination of the Lone Star Tower property at Texas Motor Speedway, including office suites, residential condominiums governed by an HOA, shared amenities, and event-related building activities. This teammate serves as the central point of coordination between tenants, condo owners, HOA leadership, operations teams, finance, and external vendors.
This position ensures Lone Star Tower remains a well-managed, revenue-generating property that provides a positive experience for tenants, condo owners, and guests while supporting the broader operations and event environment of Texas Motor Speedway.
Key Responsibilities
This teammate is responsible for the following accountability areas. Other duties may be assigned.
1. Office Leasing and Tenant Management
Oversee leasing administration and tenant relationships for Lone Star Tower office suites, including lease management, rent collection coordination, tenant onboarding, and communication.
Maintain accurate rent roll and financial documentation with on-time monthly reporting to finance.
Achieve high tenant retention through proactive lease renewals and relationship management.
Ensure all tenant documentation (leases, certificates of insurance, contacts) remains complete and current.

Decides Tenant communication, onboarding logistics, and routine lease administration
Decides Scheduling and coordination of tenant walkthroughs and property tours
Escalates Lease terms, rent adjustments, tenant disputes, and eviction decisions
2. HOA Administration and Governance
Manage administrative and financial coordination for the condominium homeowners association, including dues collection, budgeting, board communication, and compliance with HOA policies.
Ensure timely collection and accurate posting of HOA dues and assessments.
Coordinate and execute HOA board meetings, owner communications, and documentation.
Maintain accurate financial and ownership records and support annual HOA budget preparation.

Recommends Budget line items and assessment adjustments based on property needs
Escalates HOA policy changes, owner disputes, and legal compliance questions
3. Property Operations and Maintenance Coordination
Ensure the building and shared facilities remain safe, operational, and well-maintained by coordinating maintenance, vendor services, and operational support.
Track and coordinate completion of building work orders and operational projects.
Maintain compliance with safety inspections, insurance requirements, and vendor certifications.
Conduct regular property walkthroughs to identify maintenance needs and uphold facility standards.

Decides Work order prioritization, vendor scheduling, and routine maintenance coordination
Decides Property walkthrough frequency and inspection standards
Escalates Major capital repairs, vendor contract negotiations, and safety compliance issues
4. Amenities and Facility Use Management
Oversee scheduling, administration, and operational coordination for shared amenities including the clubhouse, pool, and rental spaces.
Maintain an organized rental calendar and coordinate all facility reservations.
Ensure rental agreements, insurance documentation, and payments are collected and processed.
Coordinate with operations and security teams to support successful facility use.

Decides Reservation scheduling, rental logistics, and day-of coordination
Decides Enforcement of facility use policies for routine situations
Escalates Policy exceptions, damage claims, and security incidents during rentals
5. Event Readiness and Race Weekend Coordination
Prepare the Lone Star Tower property for race events, coordinate access and hospitality needs, and ensure the building operates smoothly during race weekends.
Ensure building readiness and hospitality support during race events.
Coordinate communication and logistics with tenants, condo owners, and internal departments prior to major events.
Supervise event support roles such as ticket scanners and logistical staff when assigned.

Decides Building preparation logistics, tenant event communications, and day-of coordination
Decides Assignment and direction of event support staff within the building
Escalates Event-related security issues, VIP hospitality conflicts, and cross-departmental resource disputes

Requirements
| Experience (Required) | Experience in administrative operations, property management support, facilities coordination, or a related role. |
| Experience (Preferred) | Experience managing commercial or residential property operations, HOA administration, or tenant relations. |
| Certifications / Licenses | Property management certification preferred but not required. |
| Tools / Systems | Microsoft Office (Excel, Word, PowerPoint), accounting or property management systems, email communication tools. |
| Physical Requirements | Ability to walk the property and inspect facilities regularly. Ability to lift or move up to 25 lbs. Reasonable accommodations may be made for qualified individuals with disabilities. |
